If you use your device to jot down thoughts, let the others know before the meeting starts. Otherwise it might seem you're yammering with outsiders mid-presentation.

Make eye contact. Even if the data coming into your smartphone are vital to the conversation, give those in front of you your full attention. "If you use your phone while someone is talking to you, it often sends a message you probably don't mean to send," Eventoff said….”

Smartphones Should Know Their Place at Work

“….Smartphones and tablets are a fairly new presence in meeting rooms, and unlike laptops, they are usually associated with games, texting and other nonwork activities. That can send a message that you aren’t paying attention, says Matt Eventoff, owner of Princeton Public Speaking, a communications training business in Princeton, N.J. “As soon as you take the device out, tell the other attendees, ‘I use my iPad or phone to take notes.’ That way, no one will question if you’re paying attention,” he says.

If you like taking notes on your laptop, keep in mind that it can be a barrier between you and others. “The screen often blocks part of the other person’s body or face,” Mr. Eventoff says. “That’s why I think a tablet or phone is actually the better way to take notes….”

Put the BlackBerry down,” says Eventoff, “especially if you’re in a meeting.” Turn it off, put it away, leave it in your office. “If you’re waiting for a particular, time-sensitive email, let your coworkers know beforehand,” Eventoff says, “Otherwise your BlackBerry has no place at the meeting.”

…“It’s very rarely that emails are being perceived as too meek,” says Eventoff. “As email has no tone, no emotions, no intonation, it’s very easy for your short emails to be perceived as pushy, demanding or impatient.”

HOW TO BREAK IT:

If poor email habits persist, bad feelings are bound to brew in a team, Eventoff says.
